Start with a specification a factory can quote

A search for “best manufacturer in China” is too broad to produce a useful shortlist. Define the product, material, dimensions, intended use and destination market first. A supplier that makes a similar-looking product may use a different process or component grade.

For ecommerce, add the individual packaging, barcode placement, instruction language and any bundle components. For a distributor or organisation, identify spare parts, installation, documentation and repeat-order requirements. These details let factories price the same job.

• Send a product brief with drawings or reference photos, quantity and target delivery date.
• Separate mandatory requirements from preferences that can be negotiated.
• Specify the destination and product standards to be checked before production.

Use more than one sourcing channel

Online marketplaces, trade fairs, industry directories and a China sourcing agent can all help identify candidates. Use them to collect options, then check the actual legal entity and manufacturing site. A high search ranking or attractive catalogue is not a factory assessment.

Ask whether each contact is a manufacturer, trading company or sales intermediary. A trading company may be useful for mixed products or smaller quantities; the key is knowing who makes the goods, who receives payment and who handles a problem.

Compare capability, samples and the full quotation

Check company registration, relevant equipment, production capacity and subcontracting arrangements. Request a sample made to your brief, record its measurements and test results, and keep an approved reference. If the order is technically demanding, a targeted factory visit or audit may be justified.

Compare total purchasing cost rather than unit price alone. Include tooling, samples, packaging, inspection, lead time and the agreed shipping term. Clarify who owns custom moulds and artwork, and whether the supplier may change materials without written approval.

Make the first production run a controlled decision

Agree an order specification, payment milestones, inspection criteria and a process for defects before production starts. If the factory accepts a smaller pilot order, use it to test repeatability and communication. A good sample does not automatically prove that a full batch will match.

For repeat buying, keep the approved revision, inspection reports and packaging details together. A lower quotation on a later order should prompt a check for changes in material, specification or delivery scope, not an automatic acceptance.
