A basic visual check may be enough for simple goods. A pre-shipment inspection examines a finished or nearly finished order against the agreed criteria. Production monitoring can identify issues while there is still time to correct them, while technical or high-value goods may justify an independent specialist.

These services answer different questions. A commercial inspection does not automatically replace a laboratory test, regulatory assessment or technical acceptance test.

Write a specification the inspector can actually use

Send the purchase order, approved sample, drawings, dimensions, tolerances, materials, colours, functions, packaging and labelling requirements. “Good quality” is not an objective acceptance criterion. The more precise the brief, the more useful the findings.

Agree how defects are classified, which tests are required and what acceptance limits apply. If a requirement was never communicated or contractualised, it may not be possible to verify it fairly.

  • Product references, quantity and production stage.
  • Critical dimensions, materials, functions and tolerances.
  • Sample size, AQL or other acceptance method.
  • Correction, reinspection and release instructions.

Sampling, visual checks and functional tests have limits

An inspection may count cartons and units, select a representative sample and check appearance, dimensions, markings, packaging and accessories. A sampling inspection does not mean every unit was opened and checked, and it cannot rule out a hidden defect or a problem on an unsampled unit.

Simple functional tests can include powering on, operating a control or observing a basic movement. They are not a safety certification, laboratory test or guarantee of future performance. Machines and industrial equipment may need a Factory Acceptance Test or a specialist engineer.

Read the report as evidence within a defined scope

A useful report identifies the supplier, product, quantity observed, inspection date, sample method, measurements, photographs, videos, tests performed and anomalies. It should distinguish verified findings from checks that could not be completed because production was unfinished, cartons were inaccessible or equipment was unavailable.

Results may be described as conforming to checked points, conforming with observations or non-conforming with correction required. The result applies only to the criteria actually checked.

Use the findings before the goods leave China

If an issue is found, document it, inform the client, ask the supplier for an explanation and agree correction, cost ownership and evidence required before shipment. A second inspection may be appropriate after rework. Keep the client’s approval, balance-payment instruction and shipment release in writing for important orders.

The practical sequence is Specify → Produce → Inspect → Correct if necessary → Approve → Ship. This creates a better opportunity to manage risk than discovering the same problem after international delivery.

Does a pre-shipment inspection guarantee every unit?

No. It reports what was checked under the agreed method and scope. Sampling, visual checks and simple tests cannot eliminate hidden defects, future failures or regulatory risks.

Who is responsible if the goods fail the inspection?

The supplier remains responsible for manufacturing under the contract. MedinChina can document the issue, coordinate communication and request a correction, but its inspection service does not make MedinChina the manufacturer.

When should quality control be planned?

Define the criteria before production and book the visit against the supplier’s actual production progress, leaving time for correction and reinspection before shipment.
