How to Import Machinery From China

Define what the machine must do in your operation

Specify the material being processed, required output, tolerances, duty cycle and working environment. A headline capacity may refer to ideal conditions or a different input material. Ask the supplier to confirm performance using your actual application.

Confirm voltage, frequency, phase, compressed-air needs, dimensions, foundations and safety guarding. List included tooling, software licences, manuals and accessories. For a production line, define how each machine connects to the others.

• Send drawings, sample materials or a process description.
• Separate required output from optional upgrades.
• Agree the operating conditions used for acceptance testing.

Check import and operating requirements before ordering

Requirements depend on the destination, machine type and whether the equipment is new or used. Confirm tariff classification, duties, taxes and documentation with your destination customs broker. Product safety or electrical requirements may need separate technical advice.

Do not assume a logo or generic certificate establishes compliance. Check that the technical documentation and test evidence cover the exact model and configuration. Include required languages for manuals and safety labels in the contract.

Agree a factory acceptance test

Write a test plan that defines inputs, run time, output, tolerances and pass criteria. Identify who witnesses the test, what measuring tools are needed and what records will be delivered. For complex equipment, use a qualified technician with the relevant expertise.

Resolve failed tests before shipment under the agreed contract process. Record serial numbers, nameplates and the approved configuration. A short video showing a machine running does not prove sustained performance or that the filmed unit is yours.

Budget for arrival, installation and maintenance

Ask for packed dimensions, weight, centre of gravity and lifting points before booking freight. Oversized cargo, timber packaging, corrosion protection and unloading equipment can materially change cost. Confirm the Incoterm and destination charges.

Agree installation responsibilities, operator training, warranty scope and access to consumables and spare parts. Clarify whether support is remote or on site, who pays travel and labour, and how long critical parts take to obtain.
